Improved follow-up, document version control and task management

Egedal Municipality began using Projectplace in the spring of 2011, focusing primarily on the tools ability to develop more efficient version- and task-management, as well as follow-up across the municipality’s three locations.

Egedal Municipality in North Zealand, in Denmark was created during the municipal reforms back in 2007, through the merger of the municipalities of Ledøje-Smørum, Stenløse and Ølstykke.

The fact that Egedal Municipality’s work is conducted at three different locations means it is not possible to “just put our heads together”, as Christine Lindeløv-Rasmussen puts it, when in her role as IT Project Manager she wants a concise overall picture of the status and progress within her areas of responsibility.

“When I took up my post about a year ago, it quickly became clear to me that we lacked the tools necessary to communicate efficiently. It was a challenge to reach an agreement on how best to allocate tasks and thus ensure momentum and progress in our projects,” says Christine.

Measurability and results

Christine Lindeløv-Rasmussen therefore decided in the spring of 2011 to investigate potential project management tools available on the market. She also took the opportunity to choose a specific project that would provide the framework for assessing the value, effect and functionality of the tool. The preferred project tool was Projectplace.

“Projectplace looked to be the ideal solution, and so I had no qualms about committing to a three-month trial period. That was six months ago now and we are still using it.

New opportunities for online collaboration

Christine Lindeløv-Rasmussen expects herself and her team to have to deal with more paperwork in the future and thinks it may prove useful to explore new opportunities for using the tool to take over one another’s screens, for example, and thus exploit the product’s capability for online collaboration.
